1. Overview

Free Your Team AI LLC ("Company," "we," "our," "us") operates BidLizard. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service. By using BidLizard, you consent to the practices described in this policy.

2. Information We Collect

We collect information you provide directly to us when you sign up for and use our service, including:

  • Name
  • Business name
  • Email address
  • Organization name
  • Billing email address (if different from your personal email, provided during plan upgrade)
  • Your role within an Organization (Admin or Member)

Payment information is collected and processed securely by our payment processor, Stripe. We do not store your full payment card details on our servers.

Activity data. We record actions you take within your Organization, such as changes to bid board statuses. These records include your identity and a timestamp and are visible to other members of your Organization.

Email addresses of invitees. When an Organization Admin invites a new team member, the Admin provides that person's email address to us. We use it solely to deliver the invitation. If the invitee does not accept within 7 days, the invitation expires and the email address is no longer used for outreach.

Usage and engagement data. We automatically record certain activity when you use BidLizard, including which bid detail pages you view, how you arrived at each page (e.g., from a digest email, search, or direct link), your subscription plan at the time of the visit, and timestamps. We use this data internally for product analytics, debugging, and to improve the service. We do not display per-bid view or tracking counts to other customers.

Prospect information. We may collect business contact information for prospective users from publicly available sources such as government bid tabulation records and public contract awards. This information may include a company name, contact name, email address, and the public bids or contracts associated with that company. We use this information solely to reach out about BidLizard's services.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our service
  • Send you bid digest emails (daily and/or weekly, depending on your preferences)
  • Send you product and market emails based on your activity and subscription status, such as market summaries, board reminders, usage milestones, and feature updates
  • Process your subscription and payments
  • Communicate with you about your account, updates, and service-related matters
  • Respond to your inquiries and provide customer support
  • Display your name, email address, and role to other members of your Organization so your team can collaborate
  • Attribute your bid board activity (such as status changes) in audit logs visible to your Organization's members
  • Send invitation emails to people your Organization Admin invites to join the team
  • Generate aggregated, anonymized engagement statistics — such as how many organizations have viewed a particular bid — for internal analytics, debugging, and product improvement (these per-bid view and tracking counts are not shown to other customers)
  • Compile anonymized market intelligence, such as the number of contractors who have won awards in a given category and region, and display this information to users and in outreach communications
  • Contact prospective users via email about BidLizard's services using business contact information collected from public sources (see Section 6 below)

4. Information Shared Within Your Organization

BidLizard is a team collaboration tool. When you belong to an Organization, the following information is visible to other members of that Organization:

  • Your name and email address
  • Your role (Admin or Member)
  • When you joined the Organization
  • Bid board activity you perform (status changes, notes), including your identity as the person who made the change

Organization Admins can additionally see pending invitations and the email addresses of invited individuals.

Shared bid preferences, matched bid opportunities, and board data belong to the Organization and are accessible to all of its members. We do not share your personally identifiable information with members of other Organizations. We may display aggregated, anonymized market intelligence — such as the number of contractors who have won awards in a given category and region — to other customers and in outreach communications. These statistics never identify specific users or organizations by name.

5. Third-Party Services

We use the following third-party services to operate BidLizard:

  • Stripe - Used for payment processing. Their privacy policy is available at stripe.com/privacy.
  • Resend - Used for sending email communications. Their privacy policy is available at resend.com/legal/privacy-policy.
  • Clerk - Used for authentication and account management. Their privacy policy is available at clerk.com/legal/privacy.
  • Sentry - Used for error monitoring and performance tracking. Error reports may include limited user context to help us diagnose issues. Sensitive fields are automatically redacted. Their privacy policy is available at sentry.io/privacy.

These third-party services may collect and process your data according to their own privacy policies.

6. Prospect Outreach

We may send emails to individuals who are not yet BidLizard users ("prospects") to introduce our service. Prospect contact information is sourced from publicly available government records, such as bid tabulation sheets and contract award notices.

Prospect emails are sent from an identified BidLizard team member and include information about relevant bid opportunities in the prospect's area. A prospect may receive up to 4 emails about a specific bid opportunity. We do not send further outreach about a bid once the sequence is complete or the bid has closed.

Opting out. Each prospect email includes instructions for opting out. Prospects may also contact us at legal@bidlizard.com to request removal from our prospect list. We honor all opt-out requests promptly.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with our services. After you cancel your subscription, we will retain your data unless you explicitly request its deletion. To request deletion of your data, please contact us at legal@bidlizard.com.

Organization members. If you leave or are removed from an Organization, your personal account remains active. Activity you performed while a member (such as bid board status changes) is retained in the Organization's records and attributed to your name.

Organization deletion. If an Organization is deleted by its Admin, all shared Organization data (preferences, bid matches, board history) is removed. Individual member accounts are not deleted.

Expired invitations. Invitation records are retained for record-keeping purposes but the associated email address is no longer used for outreach after expiration.

Prospect data. If you are a prospect who has not created a BidLizard account, we retain your business contact information unless you request its removal. Engagement data from prospect emails (such as opens and clicks) is retained for analytics purposes but is not linked to a BidLizard user account.

8. Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.

9. Your Rights

You have the right to:

  • Access the personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your personal information
  • Opt out of marketing communications
  • Request removal from our prospect outreach list if you are not a BidLizard user (see Section 6)
  • Know what information about you is visible to other members of your Organization (see Section 4 above)
  • Leave an Organization at any time from your dashboard

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by email or by posting a notice on our website. Your continued use of the service after such modifications constitutes your acceptance of the updated Privacy Policy.
